Characteristic Duties and Responsibilities
Answers phone; responds to inquiries or transfers call to appropriate office or individual; makes preliminary appointments for schedule.
Receives, opens, sorts, dates, and distributes mail to correct staff person. Assembles and prepares outgoing mailings; ensures that correct inserts are in proper mailings.
Greets and screens guests; answers walk-in inquiries or refers guest to appropriate office or individual.
Assists staff by performing a variety of clerical and secretarial duties including: copying, scanning documents, sorting, filing, collating, scheduling appointments and meetings, and arranging for meeting space and running errands.
Performs word processing and typing for forms and reports; proofreads for grammar/spelling
Maintains inventory of office supplies; alerts supervisor when reorder needed.
Monitors condition of office equipment; alerts supervisor of problems.
Accepts and records payments, transactions and deposits; processes invoices and bills, review billing statements; performs basic account maintenance and transactions.
Knowledge, Skills, and Abilities
Knowledge of computer and word processing software.
Familiarity with standard office equipment and procedures.
Basic bookkeeping knowledge.
Good keyboard skills.
Good communication skills.
Good customer service skills.
Education: High school diploma or GED.
Experience: No experience required.
