This is clerical and administrative work performing a variety of non-routine tasks related to the scheduling of classrooms and other facilities.
Characteristic Duties and Responsibilities
Responds to inquires about space availability, cost, or specifications; coordinates the scheduling of space after receiving, analyzing, and processing requests.
Maintains master file of all space reservations, updating it as necessary.
Identifies, investigates, and resolves conflicting requests.
Consults with potential users to determine any special needs and recommends possible solutions.
Coordinates any logistics needed including: food, housekeeping, and tours.
Handles cancellations and processes any appropriate refunds.
Performs follow-up to ensure that all necessary contracts are signed and any required insurance is in place; oversees billing.
Responds to any inquiries about equipment and space availability, cost, or specifications.
Produces any necessary reports or correspondence.
Knowledge, Skills, and Abilities
Knowledge of computer and word processing/spreadsheet software.
Good communications skills.
Good organizational skills.
Sales/Customer Service skills.
Ability to interact with a diverse client base.
Ability to accurately and efficiently review and process detailed information.
Ability to function in high pressure situations.
Education: High school diploma or GED.
Experience: Six months experience in sales or customer service.
