This is clerical work performing a variety of routine and non-routine tasks related to providing support to the department.
Characteristic Duties and Responsibilities
Codes and enters information into computer system; maintains moderately complex department files and data bases; updates and purges as necessary to ensure files are correct and complete.
Proofreads and edits reports, brochures and other printed material.
Provides secretarial and other clerical support to department; prepares responses to routine inquiries; gathers information and prepares routine reports; edits and types memos and correspondence; serves as receptionist when necessary; handles front desk duties; greets guests; answers inquiries or refers to appropriate office or individual.
Performs basic bookkeeping duties on certain accounts; balances accounts; maintains payroll records.
Processes and distributes incoming mail; sorts and refers to correct office or individual.
Prepares any informational packets department uses; assists in preparing out-going bulk mailings; ensures mailings and forms are in proper order.
Monitors inventory of standard office supplies; reorders as necessary.
Prepares purchase orders for equipment and materials used by department; types and prepares other forms used by department.
Assists in training any student workers; serves as resource on questions regarding policies and procedures.
Knowledge, Skills, and Abilities
Knowledge of standard office procedures and equipment.
Knowledge of computers and database/word processing software.
Good organizational skills.
Ability to work well with a wide range of people.
Education: High school diploma or GED.
Experience: One year office experience.
