This is administrative and clerical work performing a variety of non-routine tasks related to academic policy and the maintenance of academic personnel records. This work is performed in the central academic affairs office.
Characteristic Duties and Responsibilities
Monitors and analyzes academic personnel actions to ensure adherence to established University guidelines and related federal and/or state regulations.
Determines variations from established policy and executes appropriate pay exceptions regarding academic personnel actions; researches and recommend solutions and alternatives to such actions; calculates pay increases and ensures that budgetary guidelines are followed.
Advises other campuses and departments of established policies and procedures regarding academic personnel actions.
Compiles list of academic personnel actions requiring Trustee approval; determines and secures any needed documents or information for Trustee review.
Monitors faculty records to ensure timely action involving expirations or reappointments.
Oversees routing and approval of recruitment forms; reviews for compliance; updates files; informs academic units.
Maintains and updates departmental files and databases; retrieves and collates needed information; generates a variety of reports.
Provides guidance and direction to staff regarding policies and procedures; trains new staff in other departments in correct processing of paperwork; serves as resource on problem issues; responds to information requests and inquiries.
Knowledge, Skills, and Abilities
Knowledge of computer and database/word processing/data base software.
Knowledge of accounting and payroll procedures.
Knowledge of academic policies and procedures.
Problem solving skills.
Good communication skills.
Ability to work in high stress, high volume environment.
Education: High school diploma or GED.
Experience: Two years records maintenance experience.
