This is administrative clerical work perform a variety of non-routine tasks relate to grant writing and monitoring expenditures from grants awarded to ensure they meet stated guidelines.
Characteristic Duties and Responsibilities
Monitors all grant activities including submissions and contracts, ensuring that faculty are aware of departmental policies regarding grants and of any requirements or changes required by grantor.
Compiles information and assists in the production of grant proposals by typing proposals and related forms, assisting with the preparation of budgets and other required financial or statistical information, explaining University procedures and policies regarding outside funding, verifying accuracy of information in proposal, and ensuring that proposal is submitted in correct form.
Reviews grant awards and contractual agreements to verify that terms and conditions are acceptable to University and negotiate any needed revisions.
Reviews and audits all grant related expenditures, and ensures compliance with grant terms and conditions; reports on status of all grant accounts and makes recommendations of expenditures; generates all reports required by the granting organization.
Monitors, verifies accuracy, and reconciles all records on grant accounts, resolving any discrepancies.
Reports periodically on grant status, expiration dates, and renewal deadlines.
Monitors all grant accounts and processes all on-line and paper purchasing documents, disbursement vouchers, and check requests/deposit forms; reconciles all monthly financial reports and resolves any discrepancies. Approves invoices for payment.
Responds to inquiries from vendors and faculty regarding payment of purchase orders.
Responds to requests from external funding agencies for additional information, documentation, and clarification concerning proposals.
Knowledge, Skills, and Abilities
Knowledge of accounting/bookkeeping.
Knowledge of computer spreadsheet/ word processing,/database/electronic mail software.
Knowledge of grant submission and administrative procedures.
Excellent organizational skills.
Excellent communications skills.
Ability to perform a variety of mathematical calculations.
Ability to expeditiously review and analyze detailed information.
Ability to handle multiple tasks and work under deadline pressure.
Education: High school diploma or GED.
Experience: Two years experience in accounting/bookkeeping, grant administration or contractual compliance work.
