This is clerical work performing a variety of customer service, administrative, and record keeping tasks related to the efficient use of university housing.
Characteristic Duties and Responsibilities
Analyzes housing requests; matches applicant's requests with availability as closely as possible; processes assignments; sends assignments to prospective residents.
Plans and organizes work to process information, leases, etc. to ensure greatest efficiency in work flow and maximum occupancy.
Compiles and processes a waiting list of students requesting moves; verifies eligibility for move; reassigns space as vacancies occur.
Generates renewal leases to current residents; checks Bursar accounts; verifies continued eligibility.
Maintains computer files on applicants, entering and updating all information on vacancies, internal moves, repairs, short term residents, and long term holds for non-housing needs--offices, child care, activity rooms, lounges, etc.-- to ensure a complete and accurate housing status file; prepares reports on housing status.
Responds to calls and correspondence from residents, prospective residents, their families, faculty, and staff requesting information on availability, cost, size, eligibility, and policies.
Processes lease cancellations after determining applicable cancellation charges.
Handles problem situations; decides appeals based on eligibility or penalty waivers or sublet requests or similar situation; tracks unique housing situations--tendered athletes, Resident Assistants, interns, Wells Scholars, Peer Educators, etc.--and assists in handling evictions and abandoned apartments.
Consults with other departments about the testing, design, and implementation of any changes in assignment system.
Monitors rate increases and determines appropriate rate structure for each resident.
Knowledge, Skills, and Abilities
Knowledge of dormitory contracts and assignment criteria.
Knowledge of computer spreadsheet, word processing, and database software.
Ability to interact with sensitivity to a multi-cultural clientele.
Ability to handle multiple tasks and deadline pressure.
Education: High school diploma or GED.
Experience: One year of clerical/customer service experience.
