Personnel files shall be those records on all SM employees. Both appointed and hourly employees shall be covered under this definition.

The term files shall designate items or collection of information stored by the University under personal name or identification, whether maintained within the departments or Human Resources.
B. Employee access to personnel files

Upon request, a University employee or his/her designated representative shall have access to all information found in his/her personnel file.

At no time during the examination of the employee's file shall the file be out of the direct supervision of the University recordkeeper.

Letters of commendation shall be included in employee personnel files when they are written.
