To help protect travelers, departments, and the University, new policies are now in effect for the handling of travel-related documents. Please follow these new procedures when obtaining approval for a trip, filing a reimbursement, or handling sensitve data.

Net ID and ADS Domain Required for Reimbursement
Effective immediately, all University staff, faculty, students and affiliates must have a Network ID and ADS Domain account before a travel reimbursement can be processed through the Travel system on their behalf. If the traveler does not have a Network ID and ADS Domain Account, they must complete an Account Management Services (AMS) starter kit.

New Airport Parking Vendor
Indy Park Ride & Fly is now a preferred parking vendor for Indiana University. Through the IU contract, travelers receive a number of benefits and discounted parking rates.

Delta Changes Northwest Flight Numbers
Delta is changing every Northwest flight number due to the Delta/Northwest merger. If you are flying Northwest domestically beginning November 1 or internationally beginning October 24, double-check your ticket for changes. If the flight reservation was made through Orbitz for Business, schedule changes will be handled by their automated systems.

Rate Increases
Beginning October 1, 2009, federal domestic per diem rates increased. The Indianapolis International Airport parking rates also increased as of September 1, 2009.

Vehicle Rental Reminder
The following information pertains to the Bloomington campus only.
Two separate programs are available for IU travelers that allow vehicle rental expenses to be charged to an IU departmental account: Motor Pool and Enterprise. To alleviate confusion, please let the traveler know which program was used to secure the rental.

Air Travelers Must Update Profiles
Due to the Secure Flight initiative currently being implemented by the Transportation Security Administration (TSA), air travelers must have their full name (including middle name), gender and date of birth updated in the profile information stored with designated IU travel agencies.

Travel Management Services processes all faculty, staff, student, and non-employee reimbursement requests for all eight IU campuses. Last fiscal year, Travel processed nearly 170,000 transactions. That's 21,000 more than the previous fiscal year!
