Suppliers May Not Pay for Student, Staff, or Faculty Travel
Some well-intentioned vendors may invite staff, faculty, or students to an off-campus event for academic reasons or to showcase products that cannot be easily viewed on campus. Travel for these reasons is allowable as long as Indiana University pays for all expenses incurred. It is against University policy for the vendor to pick up the tab for any travel-related expense.

Let us Know Your Thoughts on Digital Signage

The demand for digital signage at IU is growing. The Office of Procurement Services is working to respond to that demand. By leveraging the collective purchasing power of all IU campuses, Procurement hopes to make digital signage as affordable as possible to all groups within the University.
Take our Digital Signage Survey to provide the Purchasing Department with information that will assist in our efforts. After the results have been collected, a governance committee representing several IU departments will host open town hall meetings to discuss potential digital signage solutions.

Reminder: Use of Personal Rewards Card with an IU
P-Card is Prohibited
The Indiana University Internal Audit Department recently reviewed P-Card statements and discovered a number of instances when store rewards cards (i.e. Best Buy Rewards Zone, Staples Rewards, grocery cards) were used in conjunction with a P-Card. The result is a potential conflict of interest. The Purchasing Department would like to remind faculty and staff that the use of rewards and grocery cards is, and has always been, prohibited.

Raise Your APO Limit by Using the Available Contracts Button
The automatic purchase order (APO) dollar limit is $1,000 for most departments. This means that qualifying APO requisitions of less than $1,000 do not route through Purchasing, and are instead sent directly to the vendor after all approvals have been given within your department. Any requisition over the APO limit must come through the Purchasing Department for approval. However, you can take advantage of a higher APO spending limit if you shop with a vendor with whom IU has a contract.

Purchasing Office Gets New Home

Earlier this summer, administrative offices for IU South Bend, including Purchasing, were temporarily moved due to renovation to the Administration Building. Purchasing can now be found in the Education and Arts building (formerly the Associates Building), on the second floor, east end, cubicles 99-103.
Purchasing will remain in the Education and Arts building until renovation of our “old” space is complete. By early spring 2010, we hope to be back in the Administration Building, second floor, west end.
